ProFlow Referrals ("we", "us", or "our") operates a referral management platform that helps companies manage referral partners, track referrals, and send payouts. This policy explains what information we collect, how we use it, and the choices you have.

1. Information We Collect

  • Account information: when you register or accept an invitation, we collect your name, email address, and phone number.
  • Referral information: when a partner submits a referral, we collect the referred customer’s name, phone number, property address, and optional photos or notes provided by the partner.
  • Tax information: partners who receive payouts may submit a W-9 form, which includes their legal name, address, and taxpayer identification number (SSN or EIN). This information is used solely for tax reporting purposes.
  • Payout information: payout accounts are created and managed by Stripe. We store only a reference to your Stripe account — we never see or store your bank account or card details.
  • Device information: if you use our mobile app and enable push notifications, we store a device token so we can deliver notifications to your device.

2. How We Use Your Information

  • To operate the referral program — tracking referrals, statuses, and earnings.
  • To process payouts to partners through Stripe.
  • To send transactional notifications, such as referral status updates, payout confirmations, and account invitations, by email, in-app notification, or push notification.
  • To meet legal and tax reporting obligations.

3. How We Share Your Information

  • With the company you partner with: companies on our platform can see the referrals their partners submit and the information needed to manage payouts.
  • With service providers: we use Stripe for payouts and Resend for transactional email. These providers process your data only to provide their services to us.
  • We do not sell your personal information to third parties.
  • We may disclose information if required by law, regulation, or legal process.

4. Data Security

  • We use industry-standard safeguards to protect your information, including encryption in transit and at rest.
  • Sensitive data such as tax identification numbers and payment credentials are restricted to authorized access only.

5. Data Retention

  • We retain your information for as long as your account is active or as needed to provide services.
  • Referral and payout records may be retained after account deletion where required for tax, legal, or recordkeeping purposes.

6. Your Rights

  • You may access and update your profile information at any time from your account.
  • You may delete your partner account from your dashboard. Some records may be retained as described above.
  • You may contact us to request access to, correction of, or deletion of your personal information.

7. Push Notifications

  • If you opt in to push notifications on our mobile app, you can disable them at any time in your device settings.

8. Children’s Privacy

  • Our services are intended for business use by adults. We do not knowingly collect information from anyone under 18.

9. Changes to This Policy

  • We may update this policy from time to time. We will post any changes on this page and update the effective date below.
